When a JSU preceptor or clinical site falls through
JSU posts no step-by-step procedure for a lost preceptor or site. The closest rule sits in the graduate handbook: a change to your projected clinical experience is reported to named titles and has to be approved. Add a calendar where each NP practicum runs once a year, and a drop becomes a same-day problem. This guide covers the JSU rules that apply and how we keep a backup ready.

What JSU's documents say about a lost placement
Nothing in the JSU pages, catalog entries or handbooks reviewed for this site sets out a graduate procedure for a preceptor who quits or a site that cancels. The rule that comes closest is the 2024-25 Graduate Handbook's policy covering residence, employment and projected clinical experience.
Under that policy, a shift in where you expect to complete clinicals is reported to three people: the Administrative Coordinator, Graduate Programs, plus your program coordinator and the faculty teaching your course. Nothing changes until the new plan is approved. The handbook adds a caution that matters here: approving a change does not mean your progression stays on its original schedule.
Treat that as the reason to act on a drop within hours, not days. The 2024-25 edition remains the latest graduate version on JSU's Program Information page, and it uses the older three-digit course numbers, so ask your course faculty whether the reporting route has changed since it was printed.
Who to tell, and in what order
The order below follows the JSU rules that touch a lost placement. Put every message in writing through your GEM email so the dates are on record.
- Course faculty, the same dayJSU's attendance rule asks students to notify course faculty before missing scheduled practicum time with a preceptor. A cancelled preceptor changes that schedule, so faculty hear it first.

- The hours already bankedAsk your course faculty how hours completed with the first preceptor will be documented. JSU names no logging platform publicly, so your Canvas course is where the answer lives.
- Advice before you drop anythingThe handbook wants you to talk with the Program Coordinator or Lead Faculty before you withdraw from a course. Have that conversation before any form is filed.
Why JSU's calendar leaves little room
Each NP practicum sits in one term: a spring start for Practicum I, then summer for II, fall for III and spring again for IV, and the catalog lists each as offered in that term only. Every practicum is also paired with its lecture course, and if either half of the pair is not passed, both are retaken together. A practicum that cannot be finished may therefore wait for next year's offering; that delay is our reading of the term notes, not a JSU statement.

A break during the DNP residency
The DNP residency is built on continuity. According to JSU's DNP timeline, the same preceptor and the same site carry each student through all 16 months of the residency courses, and contract paperwork goes in at the late-May start.
The quality-improvement project lives at that facility. The proposal reaches faculty around the turn of September into October, IRB applications go in during October or November, January brings an implementation stretch of 8 to 10 weeks that includes four meetings at the facility, and results are presented there in July. A site lost after IRB approval touches the project itself, not only the hours in DNP 8797, DNP 8798 or DNP 8799.
If your residency site or preceptor changes, bring your DNP Chair and the DNP Clinical Coordinator in early, and ask whether the new site needs its own contract paperwork. How the pairing works in the first place is covered in DNP residency pairing.
What a replacement site has to clear
A backup only helps if it can clear in time. JSU's faculty review every preceptor and site, and many health systems run their own student intake on top of that, with lead times that do not bend for a mid-semester emergency.
Two regional examples show the range. Riverview Regional Medical Center in Gadsden wants its Student-Instructor Profile in hand a minimum of two weeks ahead of clinical day one. JSU does appear on the NP agreement list of Atrium Health Floyd, the Rome, Georgia system, yet Floyd asks for applications three months or more in advance, needs one of its own clinicians to agree to precept first, and has paused new school agreements.

How we cover a dropped preceptor
Whether or not JSU helps with your placement, a fall-through gets our attention the day you reach us, and the replacement we look for fits your JSU course and its rules. Speed matters, and so does getting the file right the first time, because a packet sent back for missing items costs days of its own.
- We confirm your course, the hours still owed and the dates left in the term before we contact anyone.
- We search near where you live and match the setting to your track: pediatric-to-geriatric family care if you are FNP, acute care for adolescents through older adults if you are AGACNP.
- We collect what your faculty review: the preceptor's credentials, board certification and practice setting, and the site information a contract needs.
- Before any outreach to a site, we confirm your tracker items and malpractice approval are up to date.
- For DNP residents, we look for a site and preceptor able to carry the remaining months of the project.

Set up a backup before you need one
Some early signs deserve action: a preceptor who reschedules twice, a practice changing owners, a manager who has not signed off. These habits keep a second option within reach.
- Keep malpractice approval and CastleBranch current all year: flu during the September to March season, TB renewed yearly, AHA CPR valid through the whole semester.
- Keep your own dated record of clinical days and hours alongside whatever your course uses.
- Save your preceptor's credentials and agreed schedule in writing, so a gap is easy to explain.
- Know your course's last day to withdraw before the semester starts.
- Ask us to hold a second candidate while the first is still confirming.
Contacting a new site before your malpractice proof is approved breaks a JSU rule, even in an emergency.
Questions JSU students ask
Does JSU have a policy for when a preceptor quits mid-semester?
JSU's public documents contain no dedicated procedure. The nearest rule is the graduate handbook's policy on changes to your projected clinical experience, which has you report the change to named School of Nursing titles and wait for approval. Your course faculty is the first call, and the Canvas course may hold course-specific instructions.
Can I keep the clinical hours I finished with a preceptor who left?
JSU does not publish a rule on partial hours from a preceptor who withdraws. Ask your course faculty in writing how completed hours will be documented, and keep your own dated record signed off wherever your course allows. Faculty remain responsible for evaluating your clinical learning under Alabama's nursing education rules.
Can I get an incomplete if my JSU clinical site cancels late in the term?
Possibly. JSU's catalog reserves the I grade for students blocked by extraordinary circumstances who still hold a passing grade after the withdrawal deadline. It comes with an Incomplete Grade Completion Plan and a deadline, the next fall or spring semester, after which the I turns into an F. Nursing adds that an open incomplete stops you registering for the next term.
What happens if I fail a JSU practicum because I ran out of time for hours?
JSU pairs each NP practicum with a lecture course, so failing either means retaking both. A course needs a B or better to progress, only one C may be retaken, and the repeat has to come back as an A or B. With each practicum offered once a year, repeating one can mean waiting for its next offering.
How quickly can you find a replacement preceptor for a JSU student?
