How a preceptor and site get cleared for JSU clinicals
At JSU, clearance runs in a set order: your own compliance file and malpractice approval, then the preceptor and site, then contract paperwork and faculty sign-off. Faculty make the call on every match. Our part is to put a file in front of them that is complete and already fits JSU's rules.

The order JSU sets
Approval at JSU starts with you, not the site. Graduate students keep immunizations, TB, flu, a yearly physical, AHA CPR, health insurance, an RN license and five signed forms current in CastleBranch, which the handbook also calls the Graduate Nursing Student Tracker System. Missing documents can stop you registering, and registration is what opens the practicum course.
Malpractice comes next. Every graduate nursing student buys malpractice coverage through JSU's School of Nursing and uploads the proof, and that proof has to be approved before any contact with a practicum or residency site. Only then does the preceptor and site stage begin.

What faculty weigh when they clear a match
JSU posts no checklist for NP preceptors or sites, so the course itself is the clearest guide. A match has to suit the population the practicum covers, the hours it carries and the semester it runs in. Alabama's nursing education rules also hold faculty accountable for planning, carrying out and evaluating every student clinical experience, which is why the final word sits with them.

Contracts and agreements
JSU's public wording on contracts is brief. The DNP timeline lists contract paperwork as submitted during DNP 8796, at the start of the residency run, and JSU's retired undergraduate practicum pages required every hour to be completed with the contracted preceptor. Who signs for JSU, how long a new agreement takes, and whether JSU keeps a list of sites already under contract are not published.
With no posted timeline, treat the agreement as the slowest link and start it as soon as your clearance allows. Your course faculty or track clinical coordinator can confirm whether a site already has paperwork on file with JSU.
Health systems add their own layer. Atrium Health Floyd in Rome, Georgia, lists JSU on its active agreement list for NP students, takes applications at least three months ahead, and wants a Floyd or affiliated clinician to agree to precept before an application moves. It has also paused new school agreements. Riverview Regional in Gadsden wants its student profile form two weeks before the first clinical date, and Huntsville Hospital's NP student registration asks for a current affiliation agreement.
Approvals that sit around the match
Some JSU approvals have nothing to do with the preceptor, yet they still decide whether a placement stands.
- Changes of state, employer or planned clinical location: reported to course faculty, the program coordinator and the Administrative Coordinator, Graduate Programs, and approved before they take effect.
- The out-of-state residence statement: signed by every graduate student at enrollment.
- The DNP project proposal: faculty approve it in late September or early October of the residency year, and IRB applications follow in October or November.
- Background check results: JSU may share them with administrative staff at assigned clinical sites.
- ID in the clinical setting: graduate students wear a JSU School of Nursing badge issued through the Graduate Nursing Program Office.
Where approvals stall
Most delays trace back to a file that reaches faculty incomplete: a preceptor license from the wrong state, a practice that sees the wrong population for the course, a site that has not started its agreement, or a malpractice approval still pending. Each one sends the match back a step while the semester clock keeps running.
The corequisite rule adds pressure. Practicum and lecture are taken together, each is offered once a year, and failing either means retaking both. An approval that lands after the term opens leaves little room to finish the hours, so the file has to be right the first time.

Questions JSU students ask
Who approves a preceptor for a JSU NP practicum?
JSU's public documents name no single approver title for NP preceptors. Alabama's rules make nursing faculty accountable for planning and evaluating student clinical experiences, and JSU's graduate programs have clinical coordinators for the FNP, ANP and DNP tracks. Ask your course faculty which title signs off for your course, and send a file that is complete from the start.
Does JSU need a contract with my clinical site?
JSU's DNP timeline lists contract paperwork at the start of the residency run, and its retired undergraduate pages referred to a contracted preceptor. For NP practicums the agreement process and lead time are not posted. Your track clinical coordinator can tell you whether a site already has paperwork with JSU or needs a new agreement.
When can contact with a JSU practicum site begin?
Only after malpractice approval. The 2024-25 graduate handbook says proof of the malpractice coverage bought through the School of Nursing must be uploaded to the tracker and approved before any contact with a practicum or residency site. Clearing that step early protects everything that follows.
How long does clinical site approval take for JSU students?
JSU does not publish a turnaround time. Health systems run their own clocks, from a profile form due two weeks before the first clinical date at Riverview Regional in Gadsden to applications at least three months ahead at Atrium Health Floyd in Rome, Georgia. Plan for the slowest step, often the site agreement, and begin once your clearance items are approved.
Does a clinical at my workplace need the same approval?
JSU posts no separate graduate rule for clinicals where you work, so plan on the same clearance: malpractice approval, a qualifying preceptor, a site agreement and faculty sign-off.
