CastleBranch at JSU: what goes in your tracker

CastleBranch is the document tracker JSU's School of Nursing names for clinical compliance, and the graduate handbook also calls it the Graduate Nursing Student Tracker System. Your vaccines, TB result, CPR card, physical, insurance, license, malpractice proof and five signed forms all live there, and a gap can hold up course registration. Here is what JSU asks for, how each item renews and how we keep your file ready before any site hears your name.

What CastleBranch is at JSU

CastleBranch is the secure document service JSU's School of Nursing uses to hold every clinical compliance record. The 2024-25 graduate handbook refers to it three ways: an "approved secure service," the Graduate Nursing Student Tracker System and "JSU SON's document tracker site." All three point to the same account.

You open the account when you are admitted, not when your first practicum gets close. The handbook spells out the stakes: students "may be prohibited from progressing in the program (i.e. registering for courses) if the required documentation is not submitted by the established due date." A lapsed upload can therefore stall registration itself, well before any clinical start date.

When something inside the account goes wrong, the handbook sends you to the CastleBranch coordinator, a role held by the School of Nursing's Director of Clinical Services. The zero-credit NU 8002 BSN-DNP Online Orientation course lists document tracking among its topics, so setting up the tracker belongs to your first term.

What JSU asks you to upload

The handbook's list mixes health records, coverage and credentials. Each item below needs its own proof, and several of them run on a yearly clock.

  • Measles, mumps and rubella, with the measles booster and second titer the handbook names
  • Varicella and hepatitis B
  • Tuberculosis screening
  • Tdap
  • Seasonal flu vaccine
  • American Heart Association CPR
  • A physical exam, plus the Initial Health Appraisal form
  • Health insurance, with JSU's yearly Health Insurance form
  • Professional liability (malpractice) insurance bought through JSU
  • Your professional license

The five forms you sign in the tracker

Next to the uploads, the handbook's documentation requirements include five signed documents. They are acknowledgments rather than health records, which is why students overlook them: none of them shows an expiration date that nags you.

Two further JSU documents come from the tracker itself. The Health Insurance form is downloaded each year from the document tracker site, and the Initial Health Appraisal form has to be signed by a medical professional within the past six months. Sign and upload all of these early in your first term so none of them holds up a clearance later.

Items that renew, and when

Most CastleBranch trouble at JSU comes from renewals, not first uploads. The table pulls each item's timing from the handbook so you can set reminders against your practicum calendar.

A card or policy that ends a few weeks before finals is the classic miss. Compare every end date with the last day of the term on JSU's academic calendar, not with the first day of class.

Why the tracker comes before any site

CastleBranch matters most at the moment a preceptor or site enters the picture. JSU wants your malpractice proof uploaded and approved in the tracker before you contact any practicum or residency site, so a clean file is what opens the door to outreach. Your file also travels. The handbook says background check results are shared with administrative staff at the clinical sites you are assigned to, and a hospital may add onboarding steps of its own beyond JSU's list. Riverview Regional in Gadsden, for example, wants its student profile form no later than two weeks ahead of a student's first clinical day, and it stops students with missing documentation from going on.

Which JSU document to trust

Everything listed here is drawn from the 2024-25 graduate handbook, which is still the newest graduate handbook JSU posts on its Program Information page. The 2026-27 catalog has since renumbered courses and changed practicum hours, so an updated list may sit inside the tracker.

When a requirement inside your CastleBranch account reads differently from this page, the account and the Director of Clinical Services decide. Your course faculty can tell you whether a particular practicum adds anything, such as a site's own orientation forms.

One item lives outside the tracker: the JSU School of Nursing ID badge graduate students wear in the clinical setting. It comes from the Graduate Nursing Program Office, and the handbook pairs it with a JSU lab coat or uniform.

Questions JSU students ask

Can a missing CastleBranch item stop me registering at JSU?

It can. JSU's graduate handbook says students may be kept from progressing, which it spells out as registering for courses, when required documents are not in by the established due date. Treat the tracker's due dates like tuition deadlines and upload each renewal the day it arrives, not on the deadline.

Who handles CastleBranch questions in JSU's School of Nursing?

The handbook sends CastleBranch problems to the CastleBranch coordinator, who is the School of Nursing's Director of Clinical Services. That office also receives changes to your health insurance. For questions tied to one course, such as whether a practicum site wants extra forms, your course faculty are the right people to ask.

Is CastleBranch the same as the Graduate Nursing Student Tracker System?

Yes. JSU's graduate handbook uses several names for one service: CastleBranch, the Graduate Nursing Student Tracker System, the SON document tracker site and an approved secure service. Whenever a JSU document tells you to upload proof to the tracker, it means your CastleBranch account and nothing else.

Does JSU use CastleBranch to log clinical hours?

JSU names CastleBranch for compliance documents. Its public program pages, graduate handbook and catalog do not name any platform for recording practicum or residency hours, so check the syllabus for each clinical course and ask your course faculty how hours are submitted before your first shift.

Can clinical sites see my JSU compliance records?

Some of them. The handbook says background check results are shared with administrative personnel at assigned clinical sites, and a hospital may ask for immunization and CPR proof during its own onboarding. Keep your own copies of every document you upload so you can answer a site's request the same day.
